Role Responsibilities
- To draft, transcribe, type, collate and prepare documents/Court Bundles as required including letters, forms, standard documents, briefs, bills etc. and prepare same for issue as necessary.
- To deal with routine matters, correspondence and queries on own initiative.
- To enter back-up record of key dates in the firm’s Court diary, monitor diary notes and inform of forthcoming events and deadlines as appropriate.
- Dealing with new, current and former clients by telephone and in person, take messages and make appointments.
- Conducting Conflict of Interest checks against case management system.
- File Management including:
- opening new files
- maintaining current files, ensuring all required documentation is completed and scanned and adheres to audit requirements.
- emailing Court for IDPC when required.
- liaison with Accounts Department on completion of matter, to check account is clear prior to closure.
- closing files on completion and archiving.
- Liaising with case management system support where necessary.
- To liaise with client, counsel, court and other third-parties as required.
- To arrange conferences, meetings, prison visits as requested.
- Monitoring central supplies of Legal Forms, liaison with other staff and ordering as required.
- Maintain Police Station Diary and chase outstanding cases with Police officers, send to billing where appropriate.
- Regular monitoring of the CJSM system ensuring documents are added to the appropriate files and solicitors/case workers are informed of any issues.
- Receiving and recording consultant and agents notes, opening cases, recording times, scanning documents diarising dates/ billing where appropriate.
- To ensure that clients are, to the best of your ability, kept satisfied at all times and to resolve any concerns promptly and courteously, reporting them as formal complaints for investigation when relevant.
- To work at all times in accordance with the policies and practices defined within the Office Manual and to liaise with the Directors regarding suggested improvements to any aspect of the quality system.
- To assist as necessary with other duties commensurate with the post e.g. filing, photocopying etc.
- Monitoring central supplies for offices and ordering as required.
- Liaising with the Photocopier supplier and Franking Machine supplier regarding maintenance and updates.
- Liaising with IT Support where necessary.
